Job Description

Accountabilities

General:

  • Manage relationships with Management Committee, Members, Employees, and local government authorities.
  • Ensure that club Rules & Traditions, that is the governing document and provides the basic structure and policies to guide your club’s operations and are always followed.
  • Arrange club events such as Elections, Management Committee meetings and General Meetings are held as per the Boat Club Rules & By-Laws
  • Support the President, Vice President, and the Management Committee in the selection of New Members for the Club, in a transparent manner.
  • When amendments are required to Club By-laws, ensure that the process is completed according to policy. This may involve making the necessary draft amendments and communicating with the club members regarding the proposed changes and assistance in implementing the required processes to complete the amendments.

Financial Management:

  • Manage Boat Club budget and monitor use of funds.
  • Ensure that use of Funds is as per Club Guidelines/Code of Conduct.
  • Monitor and review the financial performance of the club, sharing regular updates with the Management Committee
  • Ensure that club dues are paid and received in a timely manner.
  • Retain and file financial and legal records, maintaining necessary documentation for local taxing or registering bodies.

Records Management:

  • Prepare all documents, agendas for meetings and record minutes of all Management Committee and General Body meetings.
  • Maintain all Club Records, including minutes, agendas, committee reports, financial statements, elections, membership records as well as record of decisions and actions taken by the club and board of directors.
  • Manage all club correspondence.

Club Events:

  • Establish and communicate the Club Calendar, by working closely with members of the different Sub Committees, in order to keep the members engaged and foster involvement.
  • Prepare for Club Events, inviting presenters and guests, if required. Ensure a high level of protocol is followed for all visitors, including local and international guests.
  • Ensure publication of the Boat Club newsletter to ensure that all members are updated on club events.

Human Resource:

  • Maintain updated employee records and ensure all legal obligations are fulfilled to employee and relevant labour authorities.
  • Ensure that salaries are paid on time, keeping in account the employee is dispensing his/her duties at the Boat Club
  • Handle disciplinary issues where required, to enforce Ethical & Professional Conduct
  • Establish an Awards and Recognition scheme to help recognize outstanding employees who go the extra mile to serve the member and meet Club objectives.

Knowledge, Experience & Capabilities

  • Graduate. Preferably a degree in Public Administration
  • Minimum 20 years of experience in Facilities Management, Administration and Leadership
  • Sound experience in handling VIPs and government officials
  • Knowledge of Accounting and Budget management
  • Strong interpersonal and communication skills
  • Experience of managing complex situation and stakeholders

Proposed Compensation

PKR 350k – 400k Per Month.
